The Meeting Fluency Playbook: What PHRASE to Say at Every STATE of a Meeting

This post continues my blog from a year ago: An Engineer’s Playbook for Formal Communication in the AI Age. That post ended with a nudge to stop chasing public-speaking perfection and instead make everyday meeting room conversations effective. This post is the practical companion: a phrasebook organized by where you are in a meeting.


🔌 Communication Is a Systems Problem

Communication runs in two modes, much like data systems:

  • Writing = batch processing ✍️
    • Offline, with an unlimited buffer.
    • Refactor, fact-check and restructure before anyone sees it.
  • Speaking = stream processing 🗣️
    • Live, in sub-second cycles.
    • Listen, interpret and respond at the same time.
    • No recall. Only in-flight corrections.
